    Somewhere between the excitement of getting engaged and the reality of vendor meetings, most couples make the same mistake: they fall in love with a portfolio, ask “how much?”, get a number that sounds reasonable, and book. Then, three weeks before the wedding, the surprises start: an extra charge here, a “that wasn’t included” there, an assistant showing up instead of the photographer whose work actually sold you on the booking.

    None of this is because vendors are out to trick you. Most aren’t. It’s because the couple never asked the questions that would have surfaced these details early. So, before you send that advance payment to any photographer, decorator, makeup artist, caterer, or DJ, sit down with this list.

    1. Exactly what is included in this price?

    This sounds obvious, but it’s the question most often skipped. “Photography package: ₹80,000” could mean one photographer for one day, or two photographers plus a drone plus a same-day highlight reel plus a physical album. Get every inclusion in writing: number of people on-site, number of hours, number of events covered, and what counts as an “extra.”

    2. Who will actually show up on the day?

    Especially with photography, makeup, and decor, the person you meet in the initial consultation isn’t always the person who executes on the wedding day. It’s completely normal for larger setups to have a team, but you deserve to know in advance whether you’re getting the lead artist or a junior team member, and whether that affects the price you’re paying.

    3. What happens if something goes wrong on the day?

    Equipment fails, artists fall sick, and decor materials get delayed in transit. Ask vendors directly how they handle it. A vendor who has a clear backup plan, a second photographer on call, a backup generator for lighting, and a standby makeup artist is telling you something important about how seriously they take reliability.

    5. Can I see full, unedited work, not just the highlight reel?

    Portfolios are, by nature, the best 1% of someone’s work. That’s fine; that’s what portfolios are for. But ask to see a couple of complete, real events: a full wedding gallery, a full day’s decor setup from multiple angles, a full makeup timeline from a real bride. This tells you far more about consistency than any curated feed.

    6. How do you handle changes closer to the date?

    Guest counts shift, color themes change, and a relative suddenly wants their own hair and makeup slot too. Ask how flexible the vendor is with changes made a week or two out, and whether that flexibility comes at an extra cost.

    7. Do you charge extra for outstation travel, and does that cover the stay too?

    If you’re booking a Jaipur-based photographer for a Udaipur wedding, or an Udaipur decorator for a destination function in Pushkar, travel and accommodation costs can add a meaningful amount to your final bill. Get this number upfront, not as a line item that appears in the final invoice.

    8. What’s your policy on late arrivals or overruns from my side?

    Indian weddings run late; it’s practically tradition. Ask vendors how they handle events that overrun the scheduled hours. Some charge per additional hour, some build in a buffer, and knowing which one you’re dealing with avoids an awkward conversation at 1 AM on your wedding night.

    9. Are there any vendors you’re not allowed to work alongside?

    Some venues have exclusivity clauses with in-house vendors that create friction if you bring in outside teams. If your caterer or decorator has run into this before at your chosen venue, they’ll usually know, and it’s worth asking before you’re stuck mediating between two vendors on the day.

    10. Can I actually talk to a recent client?

    Reviews on a website are useful, but a five-minute conversation with someone who got married last season tells you more about how a vendor actually communicates under pressure, whether they were punctual, and whether the final result matched what was promised.
